Design

This is my database plan. Just a small table to represent the fields I want on my actual database.


Forms:
In order to transfer data into the database, we first need to get the information from the books before we stack them into the library. There will be a form provided that needs to be filled in so that we can transfer the information into the database. This form will include:

  • Name of book
  • Name of author of the book
  • Country originated in
  • Genre
Validation rules:
When I create this database on MS Access, I will need to use specific validation rules to make sure that the fields hold the correct information. An example of a validation rule I might use can be:

  • >=10000 and <=99999
This rule makes sure that there's numbers between 10000 and 99999, including those two numbers. I would probably use this rule for the "Book code" to make sure that the numbers are correct.

Inquiring and Analysing

My customer is a librarian who works in the library of a school and needs a database that will help her keep track of the books. She wants the most important information to be easily accessible and easy to read. I'm going to help her with this by making a database on MS Access where she can read the information she's looking for. The database can be easily accessible on a computer/laptop and it's easy to send the database to other people via email and it's also portable when transferred onto a USB. This database can come in handy to many people like the principals, teachers maybe, secretaries etc. The database will help them a lot when they're looking for a specific book that has not been returned, for example, if the librarian is looking for a missing book, she has record of who borrowed it, she can send it to the secretary who will then inform the student. This database doesn't necessarily have to be created on MS Access, it can also be created and viewed on MS Excel and MS Word. In my opinion it's easier to locate what you're specifically looking for on MS Access so I will be creating the database on MS Access. It will be challenging to create this database because of limited time and because I still have a lot to learn about it, but when it gets done, it will be very helpful.

A database is a set of structured data held in a computer that is easily accessible and possibly in various ways. I can create a database on the computer by using a software for example, Microsoft Access and entering data into it. This will help my customer keep records because it will be very easy to access, when she's looking for something specific she can find it easily and also, she can send the database to others via email. My customer will use this database to look for specific information about specific people and it will help her keep track of all the new staff and students entering the school. The existing meaning of keeping records is 'The maintenance of a history of one's activities, as financial dealings, by entering data in ledgers or journals, putting documents in files, etc.' Not every Windows user has MS Access available so in that case, I can create a database in Excel but it won't be as easily accessible so therefore, they can simply install MS Access on their computer systems. To access the information of the database and to be able to look for the information, all you have to know is how to look up a piece of information.

This project best relates to the Global context "scientific and technical innovation". I chose this global context because this database is a technical innovation that will benefit my customer and make accessing information easier. It is essential for my database to have the ability of editing and adding data at any time, from any device that provides MS Access. It's desirable for my database to be very easy to use so that any one can use it.
